What's included in monthly bookkeeping services?
Monthly bookkeeping includes recording and categorizing every transaction, reconciling your bank and credit card accounts, tracking what customers owe you and what you owe vendors, and delivering three core reports: profit and loss, balance sheet and cash flow. SmartGrowth Bookkeeping does this work every month in QuickBooks or Xero, so your books stay current, accurate and ready for your CPA at tax time.
Think of it as four jobs repeated on a schedule: record, check, report and answer questions. Each one depends on the one before it. Reports built on unreconciled accounts look precise and can still be wrong.
| Task | What it means for you |
|---|---|
| Transaction categorization | Every sale, expense and transfer lands in the right account, so your profit number is real. |
| Bank and credit card reconciliation | Your books match your statements, and missing or duplicate items get caught. |
| Receivables and payables tracking | You see who owes you money and which bills are coming due. |
| Payroll and contractor records | Payroll from your provider and contractor payments are recorded correctly, which makes 1099 season easier. |
| Monthly financial statements | Profit and loss, balance sheet and cash flow statement for each month. |
| Questions answered | A bookkeeper who knows your file explains what changed and why. |
Monthly bookkeeping does not include filing your income tax return. That is your CPA's job. What SmartGrowth delivers is tax-ready books your CPA can work from without a cleanup bill.
Can someone take over all my bookkeeping so I don't have to do it myself?
Yes. SmartGrowth Bookkeeping can take over your bookkeeping completely. Trained bookkeepers on our team record and categorize transactions, reconcile accounts and send your monthly reports, while your part shrinks to forwarding the occasional receipt and answering a short question when a transaction is unclear. You keep ownership of your QuickBooks or Xero file and your bank accounts, and you get your evenings back.
Handing off the books does not mean losing sight of them. You can still log in to your own file whenever you like. SmartGrowth works through an accountant or bookkeeper user role that you grant, so you never share your password and nobody needs to move your money.
What stays on your side is small and deliberate:
- Approving payments and signing checks
- Answering a few questions about unusual transactions
- Making decisions with the reports you receive
- Owning the accounting file and every bank account
If your books are behind right now, the takeover usually starts with catch-up bookkeeping, so the monthly work begins from clean, current numbers.
How often should a bookkeeper update my financial records?
Most small businesses should have their books updated at least monthly, with every account reconciled and the month closed. Businesses with heavy transaction volume, tight cash or inventory often benefit from weekly updates. SmartGrowth Bookkeeping sets the rhythm during your free call, based on how many transactions you have and how closely you need to watch cash, and then keeps to it.
| Update rhythm | Usually fits |
|---|---|
| Monthly | Most service businesses, consultants, agencies and professional offices |
| Weekly or twice a month | Restaurants, busy online stores, contractors juggling several jobs, anyone with tight cash |
| Quarterly or yearly | Rarely enough: errors pile up and the numbers arrive too late to act on |
The longer the gap between updates, the harder it is to remember what a charge was for. A two-truck HVAC company that closes its books monthly can ask about a charge while the technician still remembers the job. Wait a year and the same question becomes a guess.

Who monthly bookkeeping is for
SmartGrowth works with entrepreneurs, startups and small businesses that have outgrown the shoebox but do not need a full-time accounting department.
- An owner doing the books at night after a full day of work
- A growing company whose office manager is stretched thin
- A business whose CPA keeps sending cleanup bills at tax time
- A startup that wants clean numbers before talking to investors or lenders
We also keep books for businesses with special needs, such as contractors who need job costing, online stores and rental owners.
What a month looks like with SmartGrowth
- Bank and card feeds bring transactions into QuickBooks or Xero as they clear.
- Your bookkeeper categorizes them, applies bank rules and flags anything unclear.
- You answer a short list of questions, usually about one-off charges or deposits.
- Every account is reconciled to its statement.
- You receive your profit and loss, balance sheet and cash flow statement, with notes on anything that changed.
Snap a photo of a receipt when you pay. QuickBooks and Xero both support receipt capture, so the receipt attaches to the transaction and nobody hunts for it later.
Monthly bookkeeping versus doing it yourself
| Doing it yourself | Monthly bookkeeping with SmartGrowth | |
|---|---|---|
| Who does the work | You, after hours | Trained bookkeepers on SmartGrowth's team |
| Reconciliation | Often skipped in busy months | Every account, every month |
| Reports | Pulled when the CPA asks | Delivered monthly |
| Tax season | A scramble, and possibly a cleanup bill | Books ready to hand to your CPA |
| Cost | Your time, plus mistakes found later | A monthly fee, quoted after a free call |
The quote depends on your transaction volume, the number of accounts and how much reporting you need. Our pricing page explains how bookkeeping fees are structured.
More questions
Do I have to switch software to work with SmartGrowth?
No, if you already use QuickBooks or Xero. Our bookkeepers work in both. If you use something else or nothing yet, we can help you set up one of the two.
Will you file my taxes as part of monthly bookkeeping?
Monthly bookkeeping prepares the records, and your CPA or tax preparer files the federal return. SmartGrowth can help prepare the figures, but a federal income tax return must be signed and e-filed by a preparer who holds an IRS PTIN and EFIN. Texas sales and franchise tax reports and 1099s are different: SmartGrowth can prepare and file those for you.
Is monthly bookkeeping a long-term commitment?
No. Monthly bookkeeping runs month to month. To cancel, give 30 days’ notice before the first day of your final month, and SmartGrowth closes the account with final reports. The terms are also written into your quote before any work begins, so there are no surprises.
Can SmartGrowth keep my books if I am not in Dallas?
Yes. SmartGrowth works remotely with cloud software, secure document sharing, and video and phone calls, for businesses across Texas and in other states.
What do I need to send each month?
Very little once bank and card feeds are connected. Expect to send receipts for larger purchases, any paper checks you deposited, and answers to the questions your bookkeeper raises about unclear transactions.
